Annotations
Attatch comments to chart boxes within your organizational charts.
Only Administrators can view annotations
Annotations are simple comments that you can leave on chart boxes within your org charts. These can have different purposes, such as explaining why someone has been moved, asking questions and making requests, or clarifying other information that is not conveyed by your existing chart data.
You can create annotations on every individual chart boxes. This allows you to leave helpful notes for future reference, or for other chart admins.
Creating Annotations
1. Opening the annotations tab
The Annotations Tab can be found on the chart box information dialog. You will see the annotations tab next to the general info tab. Clicking it will switch over from the information dialog.
2. Adding an Annotation
To add your annotation, you can type your message in the textbox, and click 'Submit'. This will post it for all other admins to see.
A small green triangle in the top-right corner indicates if a chart box has an annotation.
Interacting with Annotations
You have different options available to you in how you interact with annotations. You can find each interaction button at the top right of any annotation.
Replies
You can add replies to existing annotations on a chart box. They will be displayed as slightly indented underneath the annotation that they are a reply to.
In order to add a reply, you need to click the 'Reply' button. This will open a second textbox in which you can enter your reply. Click 'Submit', and your reply will be added.
Reactions
Reactions are a great way to interact with an annotation without needing to leave another. This saves taking up screen space and making it more difficult to see agreements over general discussion.
In order to add a reaction, you must first click the 'Reactions' button. This will open up a window that lists all the available reactions.
If you would like to see who has reacted with which annotation, you can simply click the reaction at the bottom and it will open a second window that shows this information.
If you would like to change or remove your annotation, you can click the 'Reactions' button again, and either click your new reaction, or click the same one as before to remove it.
Deleting
You can delete your annotations by clicking on the 'Trash' button. If you delete an annotation that has replies, they will also all be deleted, along with any reactions they have.
Collapsing
Annotations with replies can be collapsed in order to hide the replies. This is useful for chart boxes with mutliple annotations that you may wish to skip over. In order to collapse an annotation, click the 'Arrow' button on the right.
Once you click on this, you will see the replies disappear, and in their place hyperlink informing you of the number of hidden replies.
If you wish to show the replies again, you can either click the hyperlink, or click the arrow again.
Moderating Annotations
While you can find and delete annotations on their individual chart boxes, it is much more efficient to use the All Annotations window on the sidebar.
Viewing all annotations
To access this, you must first go into Edit Mode, and look at the sidebar on the left.
Click on the 'All Annotations' button.
The window will list all the annotations that are on the current chart, whether their chart nodes are currently visible on the screen or not.
Filtering
There is also a filter option to allow you to search for particular annotations.
There are 3 different filter types:
Reaction: Allows you to only show annotations that have a certain reaction.
Name: Allows you to search for not only the name of the user who posted the annotation, but also the name of the chart box to which the annotation was posted.
Text: Allows you to search for the text of an annotation.
Hiding and Disabling Annotations
Hiding Annotations
You can hide annotations on your own machine by clicking the 'Annotations' button on the toolbar.
Switching this off will hide the triangle icons that show if a chart box has an annotation, but you can still access them via the information dialog.
Disabling Annotations for a Chart
If you would like to prevent annotations being used by anyone on a chart, you can disable them from the Change styling menu item. Once you click on this, scroll down and find the section called Chart controls. Uncheck the annotations icon, and refresh your page.
